Please note:

Custom Announcement requests must be submitted in writing within 24 hours of the event. If no announcements are provided, a pre-designed set of announcements (based on your event) will be selected. (i.e. Wedding announcements are usually Receiving Line, Bouquet Toss, Garter Belt, Money Dance, Bride and Groom, Bride and Father, Groom and Mother, etc…)

Custom play lists must be provided 48 hours prior to event date. No exceptions. If no play list is selected or received in the allotted time, a pre-designed play list will be selected. Specific song requests can be accepted at the Entertainment Staff’s discretion, based on song availability.

All songs are played digitally, either from our main computer system or mobile laptop. Our systems utilize the latest in Audio/Electronic technology to provide the clearest, most enjoyable sound experience.

SAFETY

Safety and security is priority for our business. For safety reasons, during or prior to adverse or inclement weather conditions, our equipment is our business. It is the discretion of the entertainment staff to continue or pull the event based on the environment.

No equipment or any kind will be modified, adjusted, or placed in such a configuration that may cause physical harm, injury, or place a guest, client or entertainment staff member in or around any unsafe condition. Our system configurations are pre-designated by our Entertainment staff and are non negotiable. No exceptions.

Our Entertainment Staff and management reserve the right to end a show at their discretion, based on the environment of the event to prevent loss or damage to equipment. To include, but not limited to acts of god, fighting, abuse, violent behavior, threats, unsafe conditions, improper/inadequate facilities, etc.

We reserve the right to refuse service to anyone.

DAMAGES

All equipment will be assessed prior to a venue with a member of the contract party. At that time, the condition of all equipment will be noted and acknowledged by both Entertainment Staff and member of the contract party. An additional assessment will be conducted immediately following the event and prior to the tear-down process. Any damage will be assessed by our Entertainment Staff and replacement/repair costs of said equipment will be billed to the contracting party, not deemed as an “Act of God” or electrical/mechanical failure of our equipment.

Any damage caused to equipment as a result of faulty or inadequate utilities, wiring, circuitry, fusing, etc. or generally by facilities at the venue location will be assessed and become the responsibility of the contracting party to replace/repair said equipment. This also includes destruction of any equipment due to fire, flood, structural failure, etc. of the venue location not deemed as an “Act of God”.

Once all equipment has been staged and a functional check is performed (See Damages below), it is considered in the custody of the contracting party and is therefore their responsibility for the duration of the event. No additional equipment, lighting, etc. may be attached, connected, powered or controlled or by any other means near or around TraxWerx equipment or Lighting in any way shape or form. No exceptions.

Modifications or changes to sound or lighting equipment configurations or any other device not mentioned, outside of the guidelines listed for equipment staging, and once the equipment condition/damage agreement has been agreed upon and signed, is not permitted in any way shape or form.

Modifications or changes to sound or lighting equipment by any entity, other than those deemed as Entertainment Staff is prohibited in any instance and will be grounds for terminating the event immediately.

Our mobile entertainment specialists can be scheduled during all holidays (subject to availability; additional fees may apply).

OUTDOOR EVENTS

Please note: outdoor events may require the use of an external power source. Generators, power inverters/conditioners, etc. are not included, however, can be provided for an additional fee based on rental or third-party availability.


We accept all major credit cards through the PayPal online payment system. If you choose, we will invoice you via email and you can just pay online! No account registration is necessary with PayPal!!

LIABILITY

We are not responsible for unavailability of facilities or utilities. For this reason, we include our Complimentary Venue technical assessment and design feature with all packages. We will need the ability to contact or visit facilities prior to any venue (excluding emergency notifications) in order to assess power consumption needs, location, availability of space for equipment, etc. The assessment is designed to get measurements, floor plan design, power outlet location, etc. (i.e. If a hall or facility is not available for us to set up our equipment until 30 minutes prior) We will try our best to meet our scheduled start times, but we can not be held responsible for overages in times to get equipment setup and configured due to anything that may alter our schedule or work or any events beyond our control, acts of god, traffic conditions, etc.

Please note: We perform a detailed inspection of all equipment prior to entering a rental or third-party contract or agreement in order to ensure the most reliable and quality equipment possible is provided. However, we can never be fully aware of maintenance schedules, care, facilities, servicing, and etc. of said equipment and can therefore not accept responsibility for the reliability or quality for such items added to packages.

Our Entertainment Staff requires at least 30 days notification of venue location in order to consult with venue personnel, estimate or plan equipment preparation, and estimate travel times.
